Academic Year, Fall or Spring Semester Programs

After acceptance into a WU A&S academic year, fall or spring semester study abroad program, or program approved by petition, each student is issued a Program Agreement/contract. The WU Program Agreement will provide clarification of which items, in addition to WU tuition and health insurance, will be billed to the WU student account and the amount of each charge.

These students remain enrolled at Washington University while studying abroad thus allowing Overseas Programs to post the program charges directly to the student's WU account.

Note: A Washington University student account is established for each non-WU participant in an A&S study abroad program.

Study abroad charges are posted to each student's account in June for fall participants and in November for spring participants. Academic year fees are charged to the student's account in equal amounts in both the fall and spring. Fall study abroad program charges appear on the student's July invoice and on the December invoice for spring. Financial assistance and other credits are applied to the student account in the usual manner.

The student may also be billed directly by the program sponsor, host institution, and/or housing authority for additional legitimate charges not directly covered by the WU program agreement. The participant must pay such charges directly to the billing establishment ensuring the account is cleared before departure from the program site. The program sponsor or host institution will not issue a program transcript until the account has been cleared which in turn delays posting of the student's WU academic credit.

Program sponsors and host institutions are requested to send their program invoices directly to our office for payment. WU Overseas Programs arranges payment of the affiliate's fees included within the WU program price. Occasionally these bills will be sent in error to the student's home address. In the event you receive a bill from the program sponsor or host institution for charges covered under the WU Program Agreement, forward the bill directly to our office for payment.

As outlined above, the student's program agreement will document the charges to be billed to the student's WU account. Charges that may appear on the student's WU bill, in addition to those specified in the program agreement, may be errors as a result of automatic billing processes in place at the university. Examples of such charges are WU meal plans, WU campus housing and activity fees. Such charges are applied to student bills prior to the submission of the study abroad participation lists to the Office of Residential Life (ResLife). If the student has officially terminated their ResLife housing contract, these charges will be removed from the student's bill within the first two billing cycles of the semester. Please do not pay these charges; no late fees will be assessed for non-payment of charges not specifically outlined in the program agreement.

As with all Washington University bills, failure to pay the charges for study abroad that have been correctly posted to a WU billing account will result in a hold being placed on the account. This prevents future registration and precludes the issuance of transcripts until the account has been cleared. Late charges and other penalties may be applied. Similarly, a hold existing prior to departure will prevent registration for the study abroad program. Also, the program sponsor or host institution may refuse to issue a program transcript or grade report until either the student has paid, or made arrangements for payment, of all applicable tuition, fees, and other charges.

Summer Programs

Students participating in WU owned and operated summer study abroad programs may be required to pay deposits and/or full program fees in advance. These participants will be enrolled at and billed by WU.

Participants in summer programs who do not receive WU financial aid will pay fees directly to the program sponsor and will not be enrolled at WU during the summer.

Participants in summer programs who do receive WU financial aid will be enrolled at and billed by WU. WU will in turn pay program sponsor fees on the student's behalf.
